Accounting software is not exciting and it is not supposed to be. The test is whether it disappears — whether the bank feed matches transactions on its own, whether your accountant can log in and get what they need, and whether year end takes an afternoon instead of a weekend. QuickBooks Online has run our small limited company for two tax years, and this is the honest report.
Reconciliation: the part that decides everything
Bank feeds are where cheap accounting tools fall apart. QuickBooks connected to both our business accounts and the company card in minutes and has dropped the connection twice in two years, both times reconnecting in a couple of clicks.
The matching rules are the real time saver. After a month of training it, roughly 80% of transactions were categorised correctly on arrival. Reconciling a month now takes about fifteen minutes.
Invoicing and getting paid
Invoices look professional out of the box, recurring invoices work, and payment reminders go out on schedule. Card payments are available through QuickBooks Payments with the usual percentage fee — convenient, but compare it with your existing processor before switching.

Where the price really lands
The advertised $19 gets you a single user and no inventory or project tracking. Most real businesses land on Plus at $49. Add payroll and you are comfortably past $80 a month before anyone has been paid. That is not outrageous for what it replaces, but the headline price is not the price.
The upsell problem
QuickBooks is relentlessly commercial. Banners, badges and prompts appear throughout the interface urging you to add payroll, financing or a higher tier. It never breaks anything, but the software has the tone of a shop assistant who follows you around.
Verdict
Boring, dependable and universally understood. If you want the option to hand your books to any accountant in the country and have them say 'fine, I know this', QuickBooks Online is the answer. Xero is the better-looking alternative and FreshBooks the cheaper one for freelancers — but neither made our year end shorter.
